Privacy Policy

This Privacy Policy explains how RVIP (“RVIP,” “we,” “us,” or “our”) collects, uses, and shares information about you when you use the RVIP websites, apps, and services — including our karaoke rooms and events, the shared song queue and display, user accounts and profiles, any posting or commenting features, and our AI assistant (together, the “Service”). It also describes your choices and your rights, including rights for California residents. It applies to the Service and not to third-party sites or services we link to.
By using the Service, you acknowledge this Privacy Policy. It works together with our Terms of Use.
1. Information we collect
Information you give us
- Account information. Your mobile phone number (used to sign you in with a one-time code), your display name, and — optionally — your email address.
- Marketing preferences. Whether you’ve opted in to texts or emails about upcoming events.
- Karaoke activity. The songs you search for, preview, and add to the shared queue, and the name your requests appear under.
- Content you submit. Where those features are offered: posts, comments, and other material you share on the Service.
- AI assistant conversations. Messages you send to our AI assistant. Today, conversations live in your browser during your session and are not stored on our servers after the session ends; they are processed by our AI provider to generate responses (see Section 3). If we add memory features, details the assistant remembers about you (like favorite songs) would be stored with your account and this Policy’s choices in Section 6 would apply.
- Communications with us. Anything you send us — for example, an email or an Instagram DM.
Information collected automatically
- Session cookies. When you sign in, our authentication provider sets cookies so you stay signed in (see Section 4).
- Log and device data. Like most online services, our hosting and infrastructure providers record basic technical data when you use the Service — IP address, browser type, pages requested, and timestamps — used for security and operations.
- Local storage on your device. Some preferences and activity are stored only in your browser and not sent to us — including your theme choice and your personal “My List” of favorite songs. Clearing your browser storage removes them.
We do not collect precise geolocation, and we do not use your camera or microphone. We do not use third-party analytics or advertising trackers on the Service.
2. How we use information
- To provide the Service: signing you in, running the shared queue and display, and showing your requests under your name.
- To personalize your experience — for example, greeting you by name in the app and in AI assistant conversations, and, if memory features are offered, tailoring the assistant’s suggestions.
- To send you one-time sign-in codes, and — only if you opted in — texts or emails about upcoming events.
- To operate, secure, troubleshoot, and improve the Service.
- To enforce our Terms of Use and moderate the Service.
- To comply with law and protect the rights, safety, and property of RVIP, our users, and others.
3. How we share information
We do not sell your personal information. We share it only:
- With other users, by design. Karaoke is shared: your display name and song requests appear in the shared queue, which is visible to anyone who can access the Service (including on the shared display), and posts or comments are visible to users of the surface where you post them. Songs can be requested without an account.
- With our staff. Hosts, managers, and admins with the appropriate role can access account information — like your display name, phone number, email, and marketing preferences — to run events and operate the Service.
- With service providers that process data on our behalf under contractual protections:
- Supabase — authentication and our database (your account, profile, and karaoke activity).
- Twilio — delivers one-time sign-in codes (and opted-in event texts) to your phone number.
- OpenAI — processes your AI assistant conversations (your messages, recent conversation context, and your display name) to generate responses. We use OpenAI’s API; OpenAI does not use data submitted through its API to train its models by default, and may retain API data for a limited period (generally up to 30 days, or longer where required by law) for abuse monitoring.
- Vercel — hosts the Service and processes request logs.
- With Google/YouTube. RVIP uses YouTube API Services. Karaoke search and playback use YouTube: your search terms are sent to the YouTube API, and videos play in embedded YouTube players, which may set cookies and collect data as described in the Google Privacy Policy. Use of YouTube features is also subject to the YouTube Terms of Service.
- For legal reasons — to comply with law or legal process, or to protect the rights, safety, and property of RVIP, our users, or others.
- In a business transfer — if RVIP is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction; this Policy would continue to apply to it.
4. Cookies, tracking, and “Do Not Track”
We use only the cookies needed to keep you signed in (set by our authentication provider, Supabase). We do not use advertising cookies or third-party analytics. Embedded YouTube players may set their own cookies, governed by Google’s policies. Because we do not track you across third-party websites and do not sell or share your personal information for cross-context behavioral advertising, there is no tracking for a “Do Not Track” browser signal or Global Privacy Control signal to switch off; we treat all users as opted out of sale and sharing.
5. How long we keep information
- Account and profile data (phone number, display name, email, marketing preferences): for as long as your account exists, and deleted or de-identified within a reasonable period after you ask us to delete your account.
- Queue entries: removed as songs are played or removed from the queue. We keep an anonymous history of songs played (song and time only, not linked to anyone) to operate the Service. On account deletion we remove or de-identify any remaining entries linked to your name.
- AI conversations: not stored on our servers today. Our AI provider (OpenAI) may retain API data for a limited period (generally up to 30 days, or longer where required by law) for abuse monitoring under its own policies. If memory features are offered, remembered details are kept until you clear them or delete your account.
- Logs: retained by our infrastructure providers for a limited period for security and operations.
We may keep information longer where required by law or needed to resolve disputes or enforce agreements, and we keep backups for a limited time.
6. Your choices
- Profile. You can review and update your display name, email, and marketing preferences any time in Account Settings.
- Marketing. Opt out any time by unchecking the boxes in Account Settings; any marketing text will include STOP opt-out instructions, and any marketing email will include an unsubscribe link. You’ll still receive one-time sign-in codes you request.
- AI memory. If memory features are offered, you can ask the assistant what it remembers about you and clear it in Account Settings or by emailing privacy@rvip.co.
- Delete your account. Email privacy@rvip.co from any address (include your account phone number) or DM @rviplounge, and we’ll verify the request (typically by texting a code to your account phone number) and delete your account and associated personal information as described in Section 5.
- Local data. Clear your browser’s cookies and site data to remove locally stored preferences and history.
7. Your California privacy rights
If you are a California resident, the California Consumer Privacy Act as amended (CCPA/CPRA) gives you rights over your personal information. We honor these rights for all users, whether or not the law technically requires it of us:
- Right to know/access — request the categories and specific pieces of personal information we have collected about you, the sources, our purposes, and the categories of third parties we disclose it to.
- Right to delete — request deletion of your personal information, subject to legal exceptions.
- Right to correct — request correction of inaccurate personal information (you can fix most of it yourself in Account Settings).
- Right to portability — request a copy of your personal information in a usable format.
- Right to opt out of sale/sharing — we do not sell personal information or share it for cross-context behavioral advertising, so there is nothing to opt out of.
- Sensitive personal information — we do not collect sensitive personal information as defined by the CCPA (please don’t submit sensitive information in messages to the AI assistant), and we do not use personal information to infer characteristics about you.
- Non-discrimination — we will not discriminate against you for exercising any of these rights.
In the last 12 months we have collected these categories of personal information: identifiers (phone number, display name, email address); internet or other electronic network activity (song searches, queue requests, AI assistant conversations, log data); and characteristics of your preferences (marketing opt-ins, theme and song favorites stored on your device). We collect them from you and from your use of the Service, use them for the purposes in Section 2, and disclose them for business purposes to the service providers in Section 3. We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not knowingly sell or share the personal information of anyone under 16.
To exercise your rights, email privacy@rvip.co or use the contact options in Section 6. We’ll verify your request — typically by texting a code to your account phone number — and respond within the time the law requires (generally 45 days). You may use an authorized agent, in which case we may require proof of authorization and verification of your identity.
Shine the Light. We do not disclose personal information to third parties for their own direct marketing purposes (California Civil Code § 1798.83).
California minors. If you are under 18, you may request removal of content you posted — see Section 17 of the Terms of Use for how.
Residents of other states with privacy laws (such as Colorado, Connecticut, Texas, and Virginia) may have similar rights; we will honor requests from those residents using the same process.
8. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has created an account or provided us personal information, contact us at privacy@rvip.co and we will delete it. Users under 18 should use the Service with a parent or guardian’s permission, as described in the Terms of Use.
9. Security
We use reasonable administrative and technical safeguards designed to protect your information — including phone-code sign-in instead of passwords, role-based access to administrative features, and encrypted connections. No online service is completely secure, so we can’t guarantee absolute security; please keep your phone secure, since it is the key to your account.
10. Changes to this Policy
We may update this Privacy Policy from time to time. If we make material changes, we will give notice — for example, by posting the updated Policy here with a new “Last updated” date, or by notifying you in the app or by text or email — before the changes take effect. Your continued use of the Service after they take effect means you acknowledge the updated Policy.
